1. Who we are
FCG Recruitment Limited trading as FindCore ("FindCore", "we", "us" or "our") is a recruitment agency registered in Northern Ireland under company number NI742038. Our registered office is Ground Floor, Gallery Building, 65–69 Dublin Road, Belfast, BT2 7HG.
We are the data controller responsible for the personal data described in this policy.

We provide recruitment services across Northern Ireland, England, Scotland, Wales and the Republic of Ireland.
If you are in the UK, your personal data is handled under the UK GDPR and the Data Protection Act 2018. If you are in the Republic of Ireland, your personal data may also be handled under the EU GDPR and the Irish Data Protection Act 2018.
2. Who this policy covers
This policy applies to individuals whose personal data we process in connection with our recruitment services, business relationships and website, including candidates, prospective candidates, referees, business contacts, suppliers and website users.
3. The personal data we collect
Depending on your relationship with us, we may collect:
- Identity and contact data — name, email address, telephone number, postal address and location.
- Candidate and professional data — CV, work history, job title, qualifications, skills, references, salary expectations, notice period, availability and work preferences.
- Recruitment activity data — roles discussed, applications, introductions, interview notes, feedback, placements and communications.
- Eligibility and compliance data — right-to-work information and, where required for a role, background, reference or qualification check information.
- Business contact data — work contact details, company details, vacancy requirements, terms of business, placement records, invoice and payment information.
- Technical data — limited information about your use of our website, such as IP address, browser type, device information, website usage and cookie information.
We do not routinely collect special category data. Where a specific role or a legal or compliance obligation requires it, we may process limited health information, for example to make reasonable adjustments, or criminal-record information, under an appropriate condition in the UK or EU GDPR.
We collect this information both directly from you — for example when you send us your CV, apply for a role or register with us — and from other sources, including clients, referees, LinkedIn and other professional networks, job boards, CV databases and referrals.
4. How we use your data and our lawful basis
We use personal data only where the law allows. The lawful bases we rely on include:
- Legitimate interests — to source, assess and introduce candidates; match candidates with suitable roles; maintain our candidate database and talent pool; contact candidates about relevant opportunities now and in the future; manage client and supplier relationships; keep records of introductions, interviews and placements; protect our fee entitlement; and operate, promote and grow our business.
- Contract — to take steps before entering into, or to perform, a contract for our services.
- Legal obligation — to comply with legal, tax, accounting, regulatory, right-to-work and recruitment record-keeping duties.
- Consent — for certain marketing communications, optional sensitive information, or where consent is specifically required.
Where we rely on legitimate interests, we balance our interests against your rights and freedoms. You may object at any time.
Where we rely on consent, you can withdraw it at any time. This will not affect processing carried out before consent was withdrawn.
We do not make recruitment decisions about you by solely automated means.
5. Candidate submissions
We will not knowingly submit your CV or detailed candidate profile to a client for a specific role without first discussing the opportunity with you, or otherwise having a fair and lawful basis to do so.
Where you are put forward for a role, we may share information relevant to that role, such as your CV, salary expectations, notice period, availability, interview notes and other recruitment information.
Clients and prospective employers may become separate data controllers for the personal data they receive and use for their own recruitment purposes.
6. Who we share your data with
We may share personal data where necessary with:
- clients, hiring organisations and prospective employers;
- candidates, where relevant to a recruitment process;
- referees;
- job boards, CV databases and recruitment platforms;
- background screening, right-to-work or compliance providers;
- umbrella companies, payroll providers or employment businesses, where applicable;
- accountants, banks, insurers, legal advisers and professional advisers;
- IT, email, website, CRM, ATS, cloud storage and software providers;
- public authorities, regulators, courts, HMRC, the ICO, the Irish Data Protection Commission or law enforcement bodies where required;
- a buyer or successor if we sell, restructure or transfer our business.
We do not sell personal data to third parties.
Where we use service providers, we require them to protect personal data and use it only for authorised purposes.
7. Marketing and business development
We may contact business contacts about recruitment services where we believe those services may be relevant to their role or organisation.
We may contact candidates about roles, opportunities or market information that may be relevant to them.
You can ask us to stop sending marketing or business development communications at any time by contacting privacy@findcore.co.uk or using any unsubscribe or opt-out option provided.
8. How long we keep your data
We will only retain your personal data for as long as is necessary to fulfil the purposes for which it was collected or later processed, including for the purposes of providing recruitment services, managing our relationship with you, maintaining our candidate database and talent pool, evidencing recruitment activity, introductions, placements and fee entitlement, complying with legal, regulatory, accounting or reporting requirements, and resolving any queries, complaints or disputes.
We do not apply a single fixed retention period to all personal data. When deciding how long to retain personal data, we will consider the amount, nature and sensitivity of the data, the purposes for which we process it, whether you are actively open to opportunities, how recently we have engaged with you, whether the data may be relevant to future suitable opportunities, whether we need to evidence an introduction, placement or fee, the potential risk of harm from unauthorised use or disclosure, whether the purposes can be achieved by other means, and any applicable legal, regulatory, tax, accounting, dispute or suppression requirements.
If you ask us to remove you from our database, we will consider the request in line with data protection law. We may need to retain limited information where required for legal, regulatory, accounting, suppression, dispute resolution or legitimate business purposes.
When personal data is no longer needed, we will delete it, anonymise it or put it beyond active use in line with our internal procedures.
9. International transfers
We are based in the UK and may process personal data relating to individuals in the UK and the Republic of Ireland.
Personal data may be transferred between the UK and the European Economic Area where necessary for recruitment, client service, business administration or legal compliance.
Where any provider processes personal data outside the UK or EEA, we take reasonable steps to ensure appropriate safeguards are in place, such as an adequacy decision or standard contractual clauses.
10. Data security
We use appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access.
These measures may include secure email and cloud systems, multi-factor authentication, device encryption, restricted access, secure backups, confidentiality measures and supplier checks.
No transmission of information over the internet is completely secure, so any data you send electronically is sent at your own risk. We have procedures to deal with suspected data breaches and will notify you and the relevant regulator where legally required.
11. Your rights
Subject to certain conditions, you may have the right to:
- be informed about how we use your data;
- access the personal data we hold about you;
- have inaccurate or incomplete data corrected;
- have your data erased;
- restrict or object to our processing;
- request data portability;
- withdraw consent where we rely on consent;
- not be subject to solely automated decisions with legal or similarly significant effects.
These rights are not absolute. We may need to retain information for legal, accounting, regulatory, dispute-resolution, suppression or legal claims purposes.

You also have the right to complain to a supervisory authority. In the UK, this is the Information Commissioner's Office. In the Republic of Ireland, this is the Data Protection Commission. We would welcome the chance to deal with your concern first.

Our website uses cookies that are necessary for it to function. Where we use analytics or other non-essential cookies, we will ask for your consent first, and you can change your choice at any time.

Our website may contain links to third-party websites, job boards, social media platforms or external services. We are not responsible for the privacy practices of those third parties.
